FreddieAI is NOT a class booking system.
A class booking system is basic software that handles your Classes & Payments.
If you are looking for a class booking system: This is not it.
Everything aside from classes & payments is handled by FreddieAI.
2.3 Can I Integrate FreddieAI with my booking software?
YES, you can easily connect FreddieAI to class booking softwares.
FreddieAI features an OPEN API (Application Programming Interface), which means we can connect with any software that provides an API for integration
We currently have a full integration with JackRabbit, meaning your data is automatically kept in sync. with FreddieAI.
Some booking software lacks an API, limiting our ability to automate integration.
However, we've developed a clever workaround for this situation.
Our import feature allows you to bring in your reports from your booking software whilst effortlessly tagging & and sorting your data onto the correct marketing lists. With this added magic, FreddieAI ensures your data is meticulously organised, so your information stays up-to-date with your booking system's latest activities, including trials and active classes. This seamless process keeps your marketing and operational efforts perfectly aligned with your members' engagement.

3. USERS & LOG-INS
3.1 How many staff/users can I have on my account?
Your first 5 users are included in your subscription.
If you need more just contact us and we can increase this for you.
It is possible to add multiple admins AND multiple non-admin users, such as, coaches/tutors/teachers.
3.2 Can I set permissions and limit what my team members can access?
YES. As the account holder, you will be able to control the permission levels of each of your users.
You can tailor access to your system based on individual roles and requirements.
For Example: You can add multiple coaches/tutors/teachers (users) in read only mode if your team need access to the CRM (customer relationship manager), or other areas of FreddieAI.
3.3 Is there a limit to the number of contacts I can have in my account?
2000 contacts are included in your subscription.
If you need more just contact us and we can increase this for you.
4. SET-UP & SUPPORT
4.1 How do I set up FreddieAI?
Your $329 set-up fee, covers your onboarding set up process or X3, 2 hour sessions for you and your team.
You will be able to book a time slot to go through your onboarding processes and be shown around your NEW FreddieAI tools and systems.
4.2 How do I get data into FreddieAI?
We have a tool to help you get your data set up.
We will assist you in getting data in from your booking or other system such a spreadsheets using a CSV file.
If you are a new club and this is your first data system, we will support you in getting started with best practise in how to structure your system and your data. It's really straight forward with tags and lists and once its setup, it will help you to be hyper-organised.
Once you have your FreddieAI web Forms set up and your chat widget onto your website, data will start to come into Freddie from NEW enquires (leads/parents).
4.3 Can I use my clubs domain/s for email and web-landing pages?
Yes , you can add as many domains to your FreddieAI account as you want.
This will allow you to send and receive emails from your clubs domain, eg. hello@mykidsclubs.com
And it will enable you to create web-landing (funnel) pages under your domain/s to keep you on-brand.

5.1 Who are Kids Club Support?
Kids Club Support was established in 2018 to support business owners who operate in the Kids Club Industry.
Established by Richard Dwyer initially as business consultancy services, the company now offers membership and software subscriptions to clubs, to help their businesses systemise and scale.
During the pandemic Kids Club Support created 'The Gym Classroom' an online platform offering live and recorded gymnastics & fitness workouts for kids and clubs, it was given away for free to club businesses to help them to retain members whilst clubs were forced to close.
At its peak the 'Gym Classroom' had over 135,000 users from 502 clubs in 32 different countries.

General Data Protection Regulation (GDPR): Regulation (EU) 2016/679, more commonly known as the General Data Protection Regulation (EU GDPR), is an EU regulation aimed at harmonising data protection laws across the EU.
The EU GDPR is focused on giving individuals more control over how their data is used by companies and making the collection and processing of data more transparent.
The EU GDPR was incorporated directly into UK law following the end of the Brexit transition period, meaning that UK-based businesses and other entities subject to UK law still have to comply with its provisions through the โUK GDPRโ.
Basic GDPR concepts
Controller and Processor: The GDPR imposes various obligations on a person depending on whether they are a controller or a processor of personal data.
A controller is an entity which decides to process personal data and makes decisions regarding the basis of processing and the methods which will be used. Controllers have certain obligations regarding personal data, which you should familiarise yourself with before collecting personal data from your customers.
A Processor is an entity which processes data for and on behalf of a controller. They make no independent decisions regarding the data or its processing, as they only process it on behalf of the controller and must comply with all instructions given by the controller.
When you use the FreddieAI platform you are a controller. You are in control of the data you upload to the platform, what you do with that data, and why. As a result, you are responsible for ensuring that you have a legal basis on which to process the data and that you do not retain the data for any longer than is necessary.
You should ensure that you understand your obligations as a Controller, and update your own systems and policies to allow the lawful transfer of personal data to FreddieAI (or any other data processor you may use.)
Kids Club Support is a data processor. The FreddieAI software platform, stores and otherwise processes the data you have collected under your instructions. We will never use any personal data which you have uploaded to the system for our own purposes or without your instruction.
Legal basis for processing
Personal data may only be collected and processed if there is a legal basis for doing so. The allowable legal bases are set out in the GDPR.
As a processor, we rely on our customers to select the correct basis under which they will be collecting and processing personal data, and to put the appropriate notices or consents in place. Before you use the platform, you should take time to identify which legal bases may be available to you, and only collect and otherwise process personal data to the extent necessary to carry out that basis. You should not change the basis under which you have collected personal data without very good reason, so it is important to understand the requirements of the different bases and make sure you select the right one at the start.
Data subject access rights
The GDPR grants data subjects (i.e., your customers/parents) certain rights relating to their personal data, including the right to access, correct and/or delete any data relating to them.
We have put in place systems for you to inform us if you receive such a request from a data subject, and for us to inform you if we receive such a request. You should familiarise yourself with the obligations which will be imposed on you, including relating to any personal data you hold on your own systems, or services other than FreddieAI.
Steps we have taken to help ensure GDPR compliance
We take our duties as a processor very seriously. We have put in place a number of procedures and taken a number of steps to help ensure that we comply with the GDPR such as:
Our data processing agreement utilises the Standard Contractual Clauses to provide a mechanism to lawfully send data to the USA.
We have tools designed to detect personal breaches and to inform our customers as soon as possible.
We are able to deal with subject access requests and rights of erasure requests, and to inform you when a data subject has made such a request to us.
We have assessed and documented the personal data processed by us on your behalf.
We encrypt personal data at rest and in transit and have implemented other security measures to ensure a level of security appropriate to the risk of processing your personal data.
5.3 Is my data Safe?
Yes. We have developed our security framework using best practices for the SaaS [software as a service] industry.
Kids Club Support [the company behind FreddieAI] does not host any product systems or data within its physical offices.
We outsource the hosting of FreddieAI to leading cloud infrastructure providers including Google Cloud Platform Services and Amazon Web Services. Our product infrastructure resides in the United States. We place reliance on Googleโs and AWSโs audited security and compliance programs for the efficacy of their physical, environmental, and infrastructure security controls.
All data is encrypted in transit with TLS version 1.2, or 1.3 and 2,048 bit keys or better.
Google provides a monthly uptime percentage to customers of at least 99.5%.
AWS guarantees between 99.95% and 100% service reliability, ensuring redundancy to all power, network, and HVAC services. The business continuity and disaster recovery plans for the AWS services have been independently validated as part of their SOC 2 Type 2 report and ISO 27001 certification.
System Backups
Your data and the FreddieAI systems are backed up on a regular basis with established schedules and frequencies. Seven daysโ worth of backups are kept for any database in a way that ensures restoration can occur easily. Backups are monitored for successful execution, and alerts are generated in the event of any exceptions. Failure alerts are escalated, investigated, and resolved. Data is backed up daily to the local region. Monitoring and alerting is in place for replication failures and triaged accordingly.
You can use the recycle bin to directly recover and restore contacts, opportunities, custom fields, custom values, tags, notes, and tasks up to 30 days after they were deleted. Changes to web-landing pages, or emails can be restored to previous versions of content using version history.
We also provide a simple data export from your FreddieAI system as an additional data backup option.
5.4 Who owns the data in my FreddieAI account?
You / Your company owns any and all data that you input into your FreddieAI system.
We will never use any data that you have uploaded to your Freddie AI system for our own purposes or without your instruction.
